Service and financial agreement
The business provides the sporting recording services selected in your order. These may include recording matches, events or selected performances; editing; producing highlights; creating a sporting profile; and preparing footage for sporting organisations. Your order records the exact package, number of games, deliverables and fee. Recording dates, duration, venue and any additional requirements are confirmed with you before filming. The package fee is payable in full through PayFast. Travel is charged at R7.00 per kilometre to the athlete’s location; for the game packages this applies within Johannesburg. Travel, accommodation and other additional services are quoted separately and require your agreement before costs are incurred. Only the listed services are included.
Payment is for recording and a sporting profile. It does not guarantee selection by a scout or club, a professional contract, scholarship, trial, overseas placement, employment, sponsorship or university admission. Third parties make their own decisions and the business cannot guarantee the outcome of an introduction or submission.
Cancellation: The cancellation policy must be completed by the business before online purchases open.
Weather or event cancellation: The rescheduling and event cancellation policy must be completed before online purchases open.
Refunds: The refund policy must be completed before online purchases open. Refunds are dealt with under applicable South African consumer protection legislation and this agreement.
You receive the agreed sporting deliverables for your child’s sporting profile. The business retains rights necessary to operate the recording service, subject to consent and privacy provisions. Footage may not be used for a materially different purpose without an appropriate lawful basis and additional consent where required.
Parental or guardian recording and media consent
You confirm that you are the child’s parent or legal guardian and have authority to consent. You permit the business to photograph and video record the child during agreed sporting activities, matches, competitions, training or related events, to create the purchased sporting footage and profile. Recordings may include video, photographs, name, sporting profile, position or discipline, performances, basic biography and relevant statistics supplied by you or the sporting organisation. Other children, coaches, officials and members of the public may be present in the sporting environment. The business takes reasonable steps to use recordings for the agreed purposes.
Footage is used to produce the child’s profile and highlights and provide your purchased deliverables. Only where you separately authorise scouting disclosure, it may also be presented to scouts, clubs, academies, coaches, sporting representatives and potential sporting opportunities, and maintained in a sporting database or profile. Other purposes require specific written agreement.
Promotional use on the business website, social media or promotional materials is a separate optional choice below. Declining promotion does not prevent the recording service. No selection, employment, scholarship, contract or professional opportunity is guaranteed.
You may contact the business in writing to withdraw consent for future recordings or request that future processing cease, subject to applicable legal and contractual requirements. Withdrawal does not automatically require deletion of information the business is legally required or entitled to retain. By signing you confirm that you have read this agreement, understand its purposes and limitations, are authorised to consent, and have had the opportunity to ask questions.

This notice concerns processing of children’s information under the Protection of Personal Information Act 4 of 2013. Additional care applies to information about children under 18. Only information reasonably required for the service is collected. This may include the child’s name, birth date, age, gender where relevant, sport, position/event, school/club/academy, statistics, photos, videos, voice where applicable, achievements, guardian contact details and information you voluntarily supply. Checkout also records guardian identity, relationship, address, typed signature, consent choices, order details, signing time and IP address as the booking and consent record.
Processing purposes are recording participation, creating profiles and highlights, communicating with guardians, managing the contract, maintaining business records and meeting legal obligations. Identification and presentation of sporting talent, and sharing with authorised scouts and sporting organisations, apply only to your separately selected scouting choices. The business will not knowingly sell the child’s personal information as a standalone data product.
Where separately authorised and necessary for the scouting purpose, recipients can include scouts, clubs, academies, coaches, schools, universities, sporting agents, sporting organisations and relevant event organisers. Some sporting organisations or service providers may be overseas. International scouting disclosure is a separate choice. Any cross-border processing must take the steps required by applicable South African data protection law. The business takes reasonable technical and organisational measures against unauthorised access, loss, misuse, alteration and disclosure. Access is restricted to authorised people requiring it for legitimate business or authorised scouting purposes.
Retention: The business must set a retention policy before purchases open. Information is retained only as long as reasonably required or legally/contractually required or permitted.
Subject to applicable law, you may request access, correction, information about processing, withdrawal of consent, objection, deletion or restriction. Contact the information officer at info@youthsportsrecording.co.za. You consent as the child’s parent, legal guardian or competent person to processing for the purposes you authorise in this form. You acknowledge the information collected, why it is processed, and that photos and videos are part of the sporting profile.
Sporting scouting, third-party disclosure and international consent
Scouting is optional. If you select scouting disclosure, you authorise presentation of relevant sporting footage and profile information to only the recipient categories you choose below for legitimate sporting scouting and development purposes. Categories include professional sports scouts, clubs, academies, coaches, schools, universities, sporting organisations, sporting agents and other legitimate sporting representatives. If you select international disclosure, relevant information may also be made available to appropriate sporting organisations outside South Africa where necessary for the stated purpose and permitted by law.
Depending on the opportunity, shared information may include name, age, sport, position, achievements, statistics, photographs, match footage, highlights and relevant profile information. Unnecessary personal information should not be shared. Once information has lawfully been provided to an independent third party, that party processes it under its own applicable privacy policies and legal obligations. The business takes reasonable steps to ensure disclosure is only for legitimate sporting purposes.
You separately choose whether legitimate sporting organisations may contact you directly about opportunities, or all communication must pass through the business. Scouting disclosure does not guarantee selection, contact, a trial, a contract, employment or another opportunity. The business facilitates footage and potential exposure and does not control third-party decisions. Declining scouting, international disclosure, direct contact or promotional use does not prevent you purchasing recording services.
